 ASPEN CANCELLATION POLICY

Your appointment is very important to the team at Aspen.Your appointment is reserved especially for you and,while we understand that schedules adjustments are necessary, we respectfully request a minimum of 24 hours notice for cancellations.

Please understand that when you forget or cancel your appointment without giving enough notice , we miss the opportunity to fill that appointment time.

Cancellation Fees

As the services are reserved for you personally , a cancellation fee will apply if you fail to give a minimum of 24 hours notice that you will not be able to make your appointment.

Please note that if less than 24 hours notice is given this will result in a charge equal to 50% of th reserved service amount .This amount is payable BEFORE any further appointment can be made .

We reserve the right to charge for missed appointments and will require future appointments to be paid in full at the time of booking .

Our aim at Aspen is to provide you with an excellent level of service and our policies help us to achieve this .

Complaints procedure

It is our objective to ensure that every client is delighted with the services that they receive at Aspen Hair Beauty and Laser.

However, we recognise that on occasion things can go wrong. If this does happen we will try to ensure we put things right at the earliest opportunity.

The quickest and most effective way of resolving any problem is to bring it to our attention immediately.

Please raise your concern to your treatment specialist who will listen carefully to your concerns and do what they can to correct any problems.

All complaints need to be documented in writing via email and forwarded to the salon manager at lwaddell@hotmail.co.uk.

Once we have received your email we will aim to contact you within 48 hours to arrange an appointment to discuss your concerns. With regards to laser and IPL hair removal, we may request a regrowth period of up to two weeks prior to your appointment to assess effectiveness, at which time additional photographic records are taken to provide comparisons.

If in the event a refund is agreed, this will be carried out by bank transfer to the client’s personal account only and the client will be required to sign a non-disclosure form prior to any refund being made.

This does not affect your statutory rights.

Please provide as much detail as possible in all communication including dates, times and payment method of your appointment.

Laser tattoo removal

We are not able to guarantee complete 100% removal of tattoo ink (no clinic can - especially yellow and green pigments) as there are many factors that can affect tattoo removal ie:

how long the tattoo has been in existence

the ink that was used

the method that was used etc.

Aspen cannot guarantee another tattoo remover’s work as we are not able to know the machine used or the settings used.

Though we can guarantee up to 80-90% removal there will however always remain what is known as ‘ghosting’ of the design - this is explained at consultation

Hair removal and Client expectations

We take time to ensure that your expectations of treatment and the services that we provide at Aspen are achievable and realistic - however, Laser and IPL hair removal results vary from individual to individual and a very small percentage of people will not respond satisfactorily to the treatment.

In this instance, you must make the therapist aware of your concerns and if once the settings are adjusted it still does not make a difference then the next stage is to put this in writing via email to the salon manager ‘lwaddell@hotmail.co.uk’. You will be invited to attend an update consultation where we will assess the improvement and effectiveness of the treatment.

No clinic can guarantee complete hair removal even after a full course of treatments (as explained at consultation) however you can expect to maintain results of up to 85-90% provided you maintain the recommended 1-2 ‘top up’ sessions per year.

Following treatment, the remaining hair will be finer and lighter in colour and therefore the area will feel smoother with no ingrown hairs. The skin in the area will also be much softer as a result of the systems that we use have the added bonus of radio frequency.

Break in treatment course and Archived record cards

If you do not attend or miss one or more scheduled treatments, therefore breaking a course, we cannot guarantee the efficiency of the treatment ie: in the case of hair removal the hair will have been allowed time to regenerate.

Aspen cannot guarantee other clinics work as we can’t know the treatment settings or machine used.

If the treatment needs to be adjusted following a full course then this will be offered free of charge for up to 3 sessions, after which the client is free to decide upon any continuing treatments.

In this event, this will be classed as a new treatment course and recorded as such. In such cases the treatment record card will be renewed and the old one is deleted. .

Client consultation and health conditions.

All new clients where applicable will be asked to complete a Client Questionnaire form before we can carry out any treatments..

Please advise us of any health conditions, allergies or injuries that may affect your service (including changes in medications throughout your treatment) this is your responsibility.
